Information Session Task List
8-12 WEEKS BEFORE
- Notify Intergroup or Chapter of plan.
- Acquire day, time, and venue.
- Recruit Speakers and a Moderator.
- Request Cision media list for your area from pi@foodaddicts.org and contact weblinks@foodaddicts.org for list of free online sites for posting.
- Create Information Session Trifold using this template and have printed and folded. Create Information Session Flyer using this template. Personalize and print for distribution.
- Submit a request to post an upcoming FA Information Session on the FA Events Calendar
4 WEEKS BEFORE
- Distribute trifold brochures and flyers to members for posting.
- Place Calendar Announcements in community publications (long and short version templates available)
- Send Public Service Announcement to local tv/cable stations, radio stations, newspapers, websites, and online calendars.
- Make sure ample literature is available for table.
1 WEEK BEFORE
- Print sponsor list and phone lists for newcomers.
- Appoint greeters for the meeting.
- Appoint set-up and clean-up committees.
- Appoint time keeper
- Put together event day toolbox including nametags, markers, literature, Individual Interested sign up sheets, meeting format, FAQs, banner, tablecloths, signs, & blank evaluation form.
- Send format and copy of Frequently Asked Questions to moderator and panelists
- Speakers and panelists review format and FAQs
DAY OF THE EVENT
- Set up literature table.
- Set up table for speakers & moderator with format and FAQ.
- Set up table with name tags for members and sign in sheets for participants
- Remind speakers how long they are speaking and to stay withing this time.
- Greet newcomers.
- Coordinate treasury.
- Clean up facility as needed
AFTER THE EVENT
- Assign members to follow-up with interested newcomers and guests.
- Return banners and tablecloths.
- Complete and return evaluation form to Intergroup or Chapter.
- Submit expenses for reimbursement.
